This Privacy Policy explains how Ausra Coaching, LLC (“we,” “us,” or “our”) collects, uses, and protects your information when you access our website (ausra.io) and coaching services. This policy applies to information we collect on the website and through email or other electronic communications between you and Ausra Coaching.

Information We Collect
Information you provide to us. When you fill out forms on the website, book a session, complete an intake questionnaire, communicate with us via email, or purchase a service, we collect information such as your name, email address, phone number, emergency contact, pronouns, and any other details you choose to share.
Session-related information. Coaching notes, goals, action items, and other information discussed during sessions.
Payment information. Billing details are processed securely through our third-party payment processor, Stripe. We do not store your full credit card number. Credit card information and other sensitive financial information is transmitted via SSL (Secure Sockets Layer) and is never sent by email.
Information collected through automatic data collection technology. As you navigate our website, we may use automatic data collection technologies including Squarespace Analytics to collect certain information about your equipment, browsing actions, and patterns. This generally includes your IP address, browser type, operating system, pages visited, and time spent on the site. This information is used for statistical purposes to improve our website and does not include personal information unless you voluntarily provide it.
Use of Cookies
Our website uses cookies — small text files stored on your device — and server logs to collect information about how our site is used. Information gathered through cookies may include the date and time of visits, pages viewed, and time spent on our site. You can control or disable cookies through your browser settings. Disabling cookies will not affect your coaching services.
How We Use Your Information

Email Communications
If you correspond with us through email, we may retain your messages along with your email address and our responses. We are committed to keeping your email address confidential. We do not sell, rent, or lease email addresses to third parties.
Email is not recognized as a secure medium of communication. For this reason, we request that you do not send sensitive personal information to us by email. However, doing so is allowed, but at your own risk.
In compliance with the CAN-SPAM Act, all emails sent from Ausra Coaching will clearly state who the email is from and provide clear information on how to contact us. All email messages will contain instructions on how to unsubscribe. You may opt out of receiving communications at any time by using the unsubscribe link in any email.
Disclosure of Your Information
As a general rule, we do not sell, rent, lease, or otherwise transfer any information collected whether automatically or through your voluntary action. We may disclose your personal information in the following limited circumstances:
When required by law, including mandated reporting obligations (your coach holds a professional license in Illinois and is a mandated reporter under state law); in response to a valid court order or subpoena; to protect the safety of you or others in cases of imminent harm; with service providers who help us operate our business (such as Stripe for payment processing and Acuity for scheduling), who are bound by their own privacy policies; to any successor in interest in the event of a merger, sale, or transfer of business assets; or with your written consent.
How We Protect Your Information
We employ commercially reasonable methods to ensure the security of your information, including encrypted email and file storage, password-protected systems, SSL for secure data transmission, and limited access (your coach is the only person who accesses your coaching information). However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
Data Retention and Disposal
We retain personal information for up to 7 years after your coaching engagement ends, in accordance with professional record-keeping standards, unless you request earlier deletion or the law requires a different retention period. Session recordings, if any, are deleted within 12 months. At the end of the retention period, personal information is securely destroyed in a manner rendering it unreadable. You may request deletion of your information at any time by emailing austin@ausra.io.
Data Breach Notification
In the unlikely event of a data breach involving your personal information, we will notify you in the most expedient time possible, in accordance with the Illinois Personal Information Protection Act (815 ILCS 530).
Not a Healthcare Provider
Ausra Coaching, LLC is structured as a coaching practice, not a healthcare provider, and does not conduct healthcare transactions. While your coach holds a professional counseling license and maintains privacy practices consistent with professional standards, our coaching services are not subject to HIPAA requirements.
Children’s Privacy
Our website and services are not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us at austin@ausra.io and we will promptly delete it.
Your Rights
You may request access to, correction of, or deletion of your personal information at any time. You may also withdraw consent for data processing or request a copy of your information in a portable format. Contact austin@ausra.io to exercise any of these rights.
